At BikerBase, your privacy matters as much as your ride. This policy explains clearly and honestly what data we collect, why we collect it, and how you stay in control. No jargon, no surprises.

1. Overview

BikerBase ("we", "our", or "us") operates the BikerBase website (the "Platform"). This Privacy Policy describes how we handle personal information when you use our Platform, wherever you are in the world.

Note: A BikerBase mobile app is currently in development and will be available at a later date. This Privacy Policy will be updated accordingly prior to its launch.

By using BikerBase, you agree to the practices described in this policy. If you do not agree, please discontinue use of the Platform.

2. Data We Collect

We collect only what we need to provide you with a great experience.

INFORMATION YOU PROVIDE

Account details: your username, email address, and password when you register. For most users, we do not require your legal name or postal address. However, if you purchase services or products on the Platform with a total value exceeding CHF 400, we are required to collect your legal name and billing address for invoicing and regulatory compliance purposes.

Profile information: profile photo, bike details, and any other information you voluntarily choose to add

Communications: messages you send to other users are end-to-end encrypted — BikerBase cannot read their contents. Messages to our support team are not end-to-end encrypted and are processed to handle your enquiry.

User-generated content: posts, reviews, comments, and photos you submit on the Platform

INFORMATION COLLECTED AUTOMATICALLY

Device information: device type, operating system, and unique device identifiers

Log data: IP address, browser type, pages visited, and timestamps

WE DO NOT COLLECT

Payment or financial data. All transactions are handled by certified third-party payment processors.

Precise GPS location data unless you explicitly share it as part of a route or feature.

DATA COLLECTED BY CLUBS ON THE PLATFORM

Clubs and organisations operating on the BikerBase Platform may require additional personal information from you as a condition of membership or participation — such as your legal name, postal address, or other GDPR-relevant data. This data is collected and processed by the respective Club, not by BikerBase.

When such data is required, you will be clearly notified via the Platform before you are asked to provide it. Each Club acting as a data controller is independently responsible for the lawful processing of the data it collects. We recommend reviewing the privacy policy of any Club you join or interact with.

3. How We Use Your Data

We use your information for the following purposes:

Creating and managing your BikerBase account

Delivering and improving Platform features and functionality

Enabling communication between users on the Platform

Sending essential service notifications (e.g. password resets, security alerts)

Sending optional newsletters or updates — only with your consent

Analysing usage patterns to improve the Platform (using aggregated, anonymised data where possible)

Detecting and preventing fraud, abuse, or security incidents

Complying with applicable legal obligations

We do not use your data to sell targeted advertising, and we do not profile you for commercial third parties.

4. Sharing & Disclosure

We do not sell your personal data. We share it only in the following limited circumstances:

SERVICE PROVIDERS

We work with trusted third-party providers for hosting, email delivery, analytics, and customer support. These providers access data only to perform services on our behalf and are contractually bound to protect it.

LEGAL REQUIREMENTS

We may disclose your data if required by law, court order, or governmental authority, or where necessary to protect the safety, rights, or property of BikerBase or our users.

BUSINESS TRANSFERS

In the event of a merger, acquisition, or sale of assets, your data may be transferred to the successor entity. We will notify you before your data becomes subject to a different privacy policy.

WITH YOUR CONSENT

We may share your data with third parties in other ways if you have explicitly given consent.

CLUBS AND ORGANISATIONS ON THE PLATFORM

Clubs operating on BikerBase are independent data controllers. Any personal data you provide directly to a Club (e.g. legal name, address) in response to their membership requirements is governed by that Club's own privacy practices. BikerBase is not responsible for how Clubs handle such data. You will always be notified via the Platform before a Club requests personal information from you.

5. Data Retention

We retain your personal data for as long as your account is active or as needed to provide you with services. If you delete your account, we will delete or anonymise your personal data within 30 days, except where we are required by law to retain it longer (e.g. for accounting or fraud prevention purposes).

Anonymised, aggregated data may be retained indefinitely for analytical and product improvement purposes.

6. Your Rights

Regardless of where you are located, you have the right to:

Access the personal data we hold about you

Correct inaccurate or incomplete data

Delete your account and associated personal data

Withdraw consent for any processing based on your consent (e.g. marketing emails)

Object to or restrict certain types of processing

Data portability: request a copy of your data in a machine-readable format

Users in the European Economic Area (EEA), United Kingdom, and Switzerland have additional rights under the GDPR and equivalent national laws. California residents have rights under the CCPA/CPRA.

7. Security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure, or destruction. These include encryption in transit (TLS), access controls, and regular security reviews. All messages between users on the Platform are end-to-end encrypted, meaning only the sender and recipient can read them — not BikerBase.

No system is entirely secure. In the unlikely event of a data breach that affects your rights, we will notify you and any applicable authorities as required by law.

8. Children's Privacy

BikerBase is not intended for use by individuals under the age of 18. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us immediately and we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will notify you via email or a prominent notice on the Platform at least 14 days before the changes take effect. The "Effective date" at the top of this page reflects the most recent update.

Your continued use of BikerBase after the effective date constitutes acceptance of the updated policy.
